Most parent communication problems don’t start with the writing. They start with the list. A director sends class email from a personal inbox, to a spreadsheet of addresses copied out of last season’s registrations. Two families changed their email. Three withdrew last week. There’s no separate contact list to build, import, or clean up. When a family enrolls, they’re in the audience for that class. When they withdraw, they’re out. Pick your audience the way you already think about your program. Email a single class about its schedule change, or an entire enrollment period with program announcements that affect everyone. Then narrow it if you need to: all enrolled families, or only the families who’ve paid.

Before anything goes out, you see a live recipient count. You’ll know you’re writing to the 14 households in Tuesday Chess Club, not broadcasting to 300. For after-school enrichment programs juggling dozens of classes and summer camps running week-by-week sessions, that targeting is the whole game.
