From zero to open enrollment, guided

A first-run setup wizard walks you through the whole launch: program basics, branding, connecting Stripe, and creating your first enrollment period. Upload one image and SwiftEnroll derives your logo, favicon, and header branding from it automatically. Every step is skippable and can be reopened later, so you can connect Stripe on Tuesday when the treasurer is around without stalling the rest of setup.

Once you’re running, help stays in the product: every admin page has a contextual help drawer — 25 topics covering the screen you’re actually on — so answers don’t live in a PDF somebody emailed around last year.

A dashboard that tells you what needs attention

The admin dashboard shows your enrollment funnel and class-capacity charts with waitlist depth, so you can see at a glance which classes are full, which have a line out the door, and which are struggling. A “needs attention” list surfaces the problems worth catching early — classes missing session dates, classes below minimum enrollment — before they become first-day surprises.

And when you know what you’re looking for, a command palette (Ctrl/⌘K) searches across students, classes, payments, and settings from anywhere in the admin — filtered to what your role can see.

Staff roles that match how programs actually run

Programs run on a mix of directors, part-time staff, instructors, and a treasurer who only cares about the money. SwiftEnroll ships seven staff roles: Client Admin, Client Staff, Financial Manager, Financial Aid Officer, Instructor, Attendance Taker, and Read-Only. The chess instructor sees their own classes; the aid officer sees aid applications; the board member who wants visibility gets Read-Only and can’t break anything.

Adding people is an email invitation with a chosen role — no shared logins, no password handoffs. A Client Admin can appoint another Client Admin, and that action is audited and announced to all admins, so top-level access never changes quietly.

Signing in is low-friction too: families and staff can use Sign in with Google or Sign in with Apple, email and password always works, and staff sign-ins can optionally use emailed 6-digit login codes.

Get your data in without retyping it

Your activities, instructors, and locations probably already live in a spreadsheet. Import them: download the CSV/XLSX template, fill it in, upload. Validation is all-or-nothing with per-row error messages and duplicate detection, so a bad import fails loudly with fixable feedback instead of half-loading your catalog.

Build next term from this one

Rolling a season forward shouldn’t mean rebuilding it. Duplicate a class or an activity to carry it into the next term, then generate its sessions in bulk across the enrollment period — weekly recurrence for the standard case, or click individual dates on a calendar when the schedule is irregular.

Instructors can even do part of the setup themselves. Share a class-proposal link and instructors submit their class details, pricing, and session dates on a calendar picker. Approving a proposal creates the class automatically; rejecting one emails the instructor the reason. Instructors see their own submission history, so “did you get my proposal?” stops being an email thread.

Reports you build yourself

Beyond the pre-built rosters, sign-in sheets, and front-office reports, SwiftEnroll includes a self-serve report builder. Pick a data source — enrollments, students, classes, payments, or donations — choose and order your columns, filter (by enrollment period, day of week, grade, activity, enrollment status, or class start-time window, so you can split before-school from after-school), sort, and export CSV. Save the definition and rerun it anytime; the board report you build in October takes one click in January. Sensitive payment and financial-aid fields are role-gated, so building reports doesn’t mean handing everyone the books.

Meet families where they already are

Two small tools with outsized reach:

  • An embeddable class-schedule widget puts your live schedule on your program’s own website — list, grid, or compact layout, themed to your colors, generated by a widget builder right in the admin. Your PTA webmaster pastes one snippet and the schedule stays current on its own.
  • Announcement banners on the family site, with scheduling windows and priority, so “enrollment opens Monday” is on the site all week without anyone remembering to post or take it down.
